Best Practices: Client Communication

The value of prompt and complete communication with your clients is immeasurable! While meeting the requirements of Prof. Cond. R.1.4 Communication, client-focused communication builds strong relationships with your clients.   

Use this checklist for client communication:  

  • Client inquiry form – to obtain basic information for conflicts of interest check  
  • Client intake form – for information to facilitate discussion of scope and objectives of representation  
  • Engagement letter – to define what you will or will not undertake 
    • Non-engagement letter
    • Disengagement letter  
  • Fee contract – to set terms and conditions of representation, fees and payment  
  • Subsequent appointment letter – to inform client of what happens next, when and where  
  • Monthly status letter – to update client on representation  
  • Client invoice letter – to send with billing statement  
  • File closing letter – to conclude representation on that matter and give file and original documents to client  
  • Post representation survey – to receive feedback from client on representation
